Specifications and standards are elements of successful business, however necessary for engineering organizations and required for companies serving federal or military contracts. Reforms in military acquisition now require further documentation and compliance with Federal and International standards for part creation and use in new projects.

Online delivery of critical engineering information has enabled engineering enterprises to have wide access to frequently used engineering references, and also immediate retrieval of specifications and standards. This vast external database resource can also be directly integrated into a company’s internal documentation – compliance or contractual paperwork, instructions to partners or subcontractors, or outlines of in-house procedures. Links to specific electronically formatted standards can also be installed into existing company networks, such as product data management (PDM), or into sales data systems, providing clear connections between parts and the standards on which they were based.

A company’s internal documents must encompass all related standards uses, as in some cases; all documents referenced within the specification must also be included. In addition, outsourced work to subcontractors or contract partners must have instructions that are precisely aligned with current specifications of parts, and accompanied with the complete background information before work can begin. Maintenance of internal and external documentation standards information can be daunting, though necessary, as this information requires updating.

The following questions are addressed within this paper:
